Archiving

Document archiving for ERP output

Archive every invoice, order, delivery note, and label at the moment of output - with the source data that produced it. Ready when your team, your customers, or your auditors need it.

Interform as a holistic layer between ERP, output, and archiving.
How it works

Archive at the moment of output, across every ERP

The same InterformNG2 engine that renders your invoice, delivery note, or label can also write it to your archive. One flow, one moment, one source of truth.

Interform archives the finished document as standard. If you also store the underlying structured data, that data can be retrieved and used as part of creating new output or workflows.

Works with Infor M3, LN, XA, and CloudSuite; Microsoft Dynamics 365 Business Central and Finance and Operations; IBM i (AS/400 and iSeries); SAP S/4HANA and ECC. The archive works the same way regardless of source ERP.

Integrations

Archive into your existing platform

Interform offers a full range of integrations with archiving, document management, and storage solutions. Interform can archive to and retrieve from structured document management systems, shared storage locations, web-based repositories, PIM or portal solutions, and other types of storage applications.

If your archive is a folder on a fileserver, Interform archives to it. If your archive is a modern DMS with metadata schemas, Interform archives to that too.

Archive to any system
Interform archives to structured document management systems, shared storage locations, web-based repositories, PIM or portal solutions, and any other storage endpoint your infrastructure exposes. Configure once, run for every output flow.
Retrieve archived content
Interform reads existing archived data or documents and uses them as part of creating new output or new workflows - for reprint, resend, or audit response, without touching the source ERP or the original transaction.
Write once, use anywhere
One archive write serves reprint, audit, customer service, and reporting. Configure the storage endpoints and metadata once, then let every output flow through them.
What every archive gets

Every archived document is ready for search, audit, and retrieval

Dynamic file naming

Name every archived file by ERP field - customer, order number, date, document type - so search always finds the right document.

Machine-readable index files

Generate index files in TXT, XML, or other formats alongside the document, ready for your DMS or search engine to ingest.

Search-ready metadata

Tag every archive with the metadata your DMS needs, populated from ERP fields at the moment of output.

Read and write

Read archived documents back for reprint or resend. If source data is also stored, use it to generate a new document or trigger a new workflow.

Common drivers

Organisations archive for many reasons

Reprint requests, customer service, audit trails, business continuity, compliance, staff productivity. Interform handles them all through one archive flow.

Reprint and resend

A customer asks for a copy of an invoice from six months ago. Retrieve it from the archive, exactly as it was sent.

Customer service

Support teams look up past orders, delivery notes, and correspondence without opening the ERP.

Audit trail

Internal audit, quality management, dispute resolution. Every document sent is on record.

Business continuity

When the ERP is upgraded, replaced, or offline, the archive is your record of what happened.

Compliance and retention

E-invoicing mandates and national tax rules require documents to be kept for defined periods, often several years.

Staff productivity

Fast retrieval means people stop hunting for files. Search by ERP field: customer, order, date, product.

Document management

Fits into your document management estate

Managing documents is a core function for any organisation. Interform supports the creation, distribution, and archiving of documents in one flow, integrating with the DMS, ECM, and archive solutions you already run.

You store output securely within your preferred archiving platform and existing infrastructure. No lift-and-shift, no parallel stack.

Fast retrieval improves staff productivity and shortens customer service response times - because the document your team needs is where they expect it, tagged the way they search.

Interform integrates with document management systems to give ERP users fast access to archived content.
FAQ

Common questions about ERP document archiving

How long do I need to keep e-invoices and other ERP documents?
Retention windows vary by jurisdiction and document type, typically running 5 to 10 years. Retention usually starts from the end of the fiscal year the document was issued. Your tax adviser or in-country counsel is the right source for the exact window that applies to you - Interform archives to any window you configure.
Can I reprint or resend an archived document?
Yes. Interform can retrieve the archived document directly (typically PDF, and XML if you chose to store it). If both the document and its source data are stored, Interform can also use the stored data to generate a new document or trigger a new workflow.
Which ERPs does Interform archive from?
Infor M3, LN, XA, and CloudSuite. Microsoft Dynamics 365 Business Central and Finance and Operations. IBM i (AS/400 and iSeries). SAP S/4HANA and ECC. And any other ERP InterformNG2 integrates with - the archive works the same way regardless of source ERP.
Do we lose our existing DMS if we adopt Interform archiving?
No. Interform integrates with your DMS rather than replacing it. Your archive stack stays. Interform becomes the writer, and optionally the reader.
Does the archive include the data behind the document, or just the PDF?
Configurable. Most customers archive the end-result document - typically PDF. If you also store the source XML or structured data, Interform can query the archive by ERP field and use the stored data to generate new documents when needed.
How does archiving connect to e-invoicing?
The same InterformNG2 engine that produces the e-invoice can write it to the archive. On the outbound edge, InterformNG2 supports Peppol UBL, OIOUBL, XRechnung, ZUGFeRD, and Factur-X formats.
