Contact our experts

Electronic invoicing is no longer just about digital efficiency. It is increasingly driven by legal and regulatory requirements. Businesses must be able to issue and receive invoices in structured formats that meet country-specific standards and validation rules. These requirements differ across markets and continue to evolve.

For organisations operating internationally, this creates complexity. Invoice formats, delivery methods, and validation rules vary depending on the country, customer, or network. Managing these differences directly in the ERP increases complexity and requires ongoing maintenance.

Interform allows you to handle these requirements in one place, while keeping your ERP focused on core business processes. It helps ensure that invoice data is structured, validated, and delivered in line with these requirements.

How Interform fits in

Interform sits between your ERP and your delivery channels, handling format, validation, and routing. Invoice data is generated in your ERP. Interform then transforms, validates, and delivers the invoice based on the required format and routing rules. This gives you a consistent invoicing process, while supporting different compliance requirements.

  • Convert invoice data into structured formats
  • Validate invoices before sending
  • Route invoices through the correct channels
  • Handle country and customer-specific requirements
  • Adapt to changes without modifying your ERP

E-invoicing

One compliant flow, from your ERP to any authority

InterformNG2 turns ERP data into structured e-invoices and distributes them by email, an access point or PDP, or a direct upload to the tax authority. It returns the legal record to your ERP and archive - and receives inbound too. Any ERP, any format, any environment.

Adding PEPPOL alongside legacy print and EDI

Most companies do not start e-invoicing from zero. Invoices already flow to print, PDF, email and EDI - and those channels stay. InterformNG2 adds PEPPOL and structured formats as one more delivery channel in the same workflow: the ERP produces invoice data once, and routing rules decide per customer whether it goes out as a PEPPOL BIS document, an EDI message, a PDF by email, or paper. Nothing in the existing print and EDI flows needs to be rebuilt.

What Interform delivers

Interform provides the components needed to support electronic invoicing across systems and markets.

  • Generate formats such as PEPPOL, XRechnung, OIOUBL, ZUGFeRD, and Factur-X
  • Transform ERP data into XML-based or hybrid invoice formats
  • Validate invoices against format specifications before delivery
  • Combine structured data with PDF output where required
  • Route invoices automatically based on defined rules
  • Integrate with ERP systems, eDelivery networks, and external platforms
  • Manage multiple formats from a single solution

Benefits

  • Support compliance across markets - meet invoicing requirements across countries, customers, and networks.
  • Reduce rejection risk - validate invoices before sending to reduce errors, avoid rejections, and prevent delays.
  • Keep ERP complexity under control - handle formats and delivery logic outside the ERP system.
  • Work with one invoice process - use a single source of invoice data across all formats.
  • Stay ready for change - adapt to new standards and requirements without redesigning your setup.

One setup, multiple compliance requirements

Organisations operating across several markets often face different invoicing requirements. One customer may require PEPPOL invoices. Another may require country-specific formats such as XRechnung or ZUGFeRD. In some cases, PDF invoices are still needed alongside structured data.

With Interform, invoice data is created once in the ERP. Interform converts the data into the required format, validates it against the relevant specifications, and sends it through the correct channel. This provides one consistent invoicing process, while supporting different compliance requirements across countries and customers.

E-invoicing from your ERP

SAP (S/4HANA, ECC, hybrid) - Add PEPPOL and structured invoice formats alongside your existing SAP output, without heavy SAP customisation. Invoice data leaves SAP once; InterformNG2 transforms and validates it. Output Management for SAP

Infor M3 and LN - The same M3 or LN output data that drives your documents today also drives your e-invoices. Compliant formats without modifying the ERP. Output Management for Infor

Microsoft Dynamics 365 - Add compliant e-invoicing without custom development in Dynamics 365. Output Management for Dynamics 365

IBM i / AS400 - InterformNG2 runs natively on IBM i and converts existing spool file output (SCS, AFPDS) into structured, validated e-invoice formats. Output Management for IBM i

How InterformNG2 works with PEPPOL access points

PEPPOL delivery runs through certified access points. InterformNG2 does not replace your access point - it prepares the invoice for it. Interform transforms ERP data into a valid PEPPOL BIS document, validates it against the format specification, and hands it to your access point or eDelivery network for transmission. The same setup routes non-PEPPOL customers to EDI, email or print. One invoice process, every channel.

Frequently asked questions

Can InterformNG2 send PEPPOL invoices directly from SAP, Infor M3 or Dynamics 365?

Yes. Invoice data leaves the ERP once; InterformNG2 transforms it into the required format, validates it, and routes it to the right channel.

Do we need to change our ERP to add PEPPOL?

No. The ERP stays a data provider. Format and delivery logic live in InterformNG2, outside the ERP.

Does InterformNG2 replace a PEPPOL access point?

No. It prepares and validates the document, then hands it to your access point or eDelivery network for transmission.

Which e-invoicing formats does InterformNG2 support?

PEPPOL BIS, OIOUBL, XRechnung, ZUGFeRD and Factur-X.

Can we keep sending PDF invoices to customers who want them?

Yes. Routing rules decide per customer: PEPPOL, EDI, email PDF, or print - all from one invoice process.

E-invoicing requirements are changing

Managing them does not have to be complex. Interform supports the technical requirements of e-invoicing, while your organisation remains in control of regulatory interpretation. Interform helps you meet technical invoicing requirements while keeping your ERP setup simple and controlled.

Many Interform users receive personalised reports daily, delivered automatically.

Convert various data formats to Excel / .xlsx

As a module within Interform, InterExcel gives you the full power of the Interform platform. It provides a simple way to convert a wide range of data types (XML, txt/CSV, JSON, SCS, AFPDS…) into Excel files (XLSX), which can then be saved to a folder, the IFS, an archive solution, or distributed by email.

Many Interform users rely on InterExcel to receive daily personalised reports, delivered automatically.

InterExcel Features

Platform agnostic solution

InterExcel works on any platform where Interform is installed. Whether you run IBM i, AS400, Windows, Linux, on-premise or in the cloud, you can work with the same wide range of data formats across environments.

Handles multiple data types (XML, txt/CSV, JSON, SCS, AFPDS…)

With InterExcel, you can create Excel output from almost any business application. Data formats such as XML, SCS, AFPDS, CSV/TXT, or JSON can all be converted into a clean, structured Excel report.

Distribute and share your files in several ways

Once your Excel report is created, you can use Interform’s workflow to distribute it automatically. Reports can be emailed, archived in SharePoint, or routed to other destinations depending on your rules.

You can define specific distribution rules per report or allow users to choose how their reports should be delivered.

office image

Import your existing Excel templates

InterExcel allows you to reuse your existing Excel files as templates.

After selecting your template, you simply map your source data using the InterExcel interface. You can reuse full templates, reuse parts of older templates, or build new ones from scratch.

Templates can include charts, pivot tables, and formatting  that will be populated automatically with variable data during output.

Integration with Interform

InterExcel expands the number of input and output formats available within Interform distribution workflows. You can use Excel files as a source for label printing or convert ERP or data from other applications to Excel and distribute it through any of Interform’s output channels.

E-mailing

E-mailing

Send HTML emails, with or without attachment(s).With Interform, it is easy to distribute output such as invoices, purchase orders, statements, and notifications directly from ERP systems and other business applications. Automated emailing improves efficiency, reduces manual work, and ensures consistent communication.

E-mail communication has never been easier

With Interform’s email functionality, you can distribute a wide range of output—such as invoices, purchase orders, statements, and shipping notifications—directly from ERP systems and other business applications. By automating these workflows, you reduce administrative workload and improve overall efficiency in output delivery.

Interform connects to your organisation’s SMTP(S) mail servers, making email distribution simple and transparent. You can configure multiple SMTP gateways to support reliable and flexible communication.

With Interform, you can design plaintext or rich HTML emails, with or without attachments. Variables can be used to customise PDF file names and define distribution methods based on ERP or application data (XML, SCS, AFPDS, etc.).

You can also generate personalised email content dynamically to accompany attached output.

Personalised emails

Personalised communication helps improve open rates, click-through rates, and overall customer satisfaction. With Interform, this is simple to achieve.

Interform enables the creation of fully customisable email templates. Each email can align with your brand identity with logos, customised subject lines, and personalised body content.

You can take this a step further with scheduled emailing and automated triggers. Output can be emailed at specific times or based on events — for example, sending order confirmations immediately after purchase completion. This ensures timely communication and reduces manual work.

With advanced distribution logic, you can create rules-based emailing. Output is sent to the correct recipients based on predefined criteria – such as sending invoices to accounts payable or shipping notifications to logistics teams.

notification image

Design email bodies directly in the Interform Designer

Interform allows you to design the email body directly in the same graphical designer used for documents and labels. You can build HTML or plain-text email layouts with your branding, logos, tables, variable fields, and conditional sections.

This makes it easy to maintain consistent communication without relying on external tools or manual formatting.

Use the ERP user as the email sender

In many ERP systems, emails are sent from a shared sender address, often a no-reply mailbox. This limits communication and typically routes delivery issues and replies back to IT.

With Interform, the ERP user can be set as the sender of the email. This enables direct communication between your organisation and customers or partners. Replies and delivery errors are returned to the user, allowing them to respond quickly or correct master data themselves.

This approach improves communication quality and reduces the administrative burden on IT.

Put the message in the email body – not only in a PDF

Standard ERP emailing often relies on sending the main message as a PDF attachment, with only a short, fixed text in the email body.

Interform adds the option to place the full message directly in the email body using structured and personalised content. Attachments remain optional and can still be included when needed.

This flexibility allows you to choose the most effective way to communicate, depending on the type of message or notification being sent.

User review and completion before sending

For certain use cases, such customer-facing communication, Interform allows emails to be prepared automatically and presented to the user before sending.

The user can review the content, add or adjust information, and then send the email manually. This provides flexibility that standard ERP email solutions typically do not offer.

Logging and error handling

Interform provides detailed logging for all email operations, including SMTP responses, delivery status, and validation checks. Failed emails can be flagged, retried, or routed through alternative SMTP gateways.

Administrators can review logs centrally, making it easier to troubleshoot and maintain stable email flows.

Electronic signatures

Electronic signatures

Collect paperless, digital signatures hassle-free with InterformInterform helps you digitise and automate document workflows by preparing signable PDF forms and routing them to your preferred e‑signing system. With our e‑signing module, you can add signature fields and integrate directly with an external e‑signing solution.Interform prepares the PDF, applies form fields, and passes the file to your chosen e‑signing platform, where the final signature step is completed.

Streamline signatures without printing

Document and transaction management often require signatures. Traditionally, this involves printing documents, collecting signatures, and scanning them for archiving.

With Interform, this manual process is removed. Interform prepares the PDF, adds signature fields, and forwards the document to a selected e‑signing provider for completion. Once signed, the document is returned automatically for further processing.

No printing, no scanning – simply sign digitally and archive automatically.

Key benefits

Signing workflows that combine Interform with an external e‑signing provider simplify and speed up approvals.
working illustration

Device‑independent signing

Once the signing step is completed, the signed document is returned to Interform for distribution or archiving. Documents are stored as searchable PDFs and become available immediately.

Documents instantly available online

Signed documents are archived automatically and made available across the organisation. This enables fast access for teams across locations or departments, even if physical copies are lost or damaged.

Cost savings with electronic signatures

Electronic signing eliminates printing, scanning, and manual handling. It reduces paper use and saves staff time throughout the approval process.

Electronic signature features in Interform

Interform provides the components needed to prepare and manage signable documents as part of your output workflows:

Integration with e‑signing platforms

Interform integrates with external e‑signing platforms through standard interfaces. This allows organisations to use their preferred or existing e‑signing solution while keeping document preparation, routing, and post‑signing handling within Interform.

In addition, Interform offers a native integration with eSignAnyWhere by Namirial, enabling a tightly integrated e‑signing flow without custom development. This provides a ready‑to‑use option for organisations that want a proven e‑signing solution integrated directly into their output processes.

This approach avoids lock‑in while still offering a fully supported native integration.

Solution example: Electronic signature in warehouse product pickup

A warehouse handing over goods often requires a driver to sign a pickup slip. Instead of printing, signing, and scanning, Interform prepares a signable PDF and sends it to the selected e‑signing solution.

Once signed, the document is returned automatically and archived. A copy can be sent electronically by email to the transporter, and a printed copy can be produced to accompany the goods with the driver if required.

This speeds up handovers and reduces the risk of lost or damaged paperwork.

Solution example: Car dealership

A car dealership may need contracts, agreements, or delivery confirmations signed by customers. Interform generates the document, adds signature fields, and passes it to the e‑signing provider.

Customers can sign online or in‑store using a tablet, smartphone, or computer. The signed document is returned automatically and archived, supporting legally compliant signatures while reducing paperwork in sales processes.

Our InterRFID module extends your label printing setup with the ability to generate RFID labels or RFID tags. Like all Interform modules, it works with any ERP system, requires no additional integration, and is intuitive to use.

As a Zebra Partner Technologies partner, Interform supports Zebra RFID printers for physical label output.

InterRFID can build any RFID data string from your existing data, or accept and process an already formatted RFID string.

By adopting RFID, businesses can streamline operations, reduce errors, and improve supply chain efficiency while gaining real-time tracking and automation capabilities.

Benefits

RFID for the automotive industry

Several OEMs and trading partners have adopted, or are in the process of adopting, RFID in their supply chain or production.

Interform has delivered solutions to several of these organisations, including serving as an official RFID solution partner for Daimler, helping suppliers meet RFID requirements.

Our solution is designed based on RFID hardware standards as well as the VDA5500 specification.

Create any XML format directly with Interform

Interform converts output from ERP systems and other business applications into any structured XML format. You can create your own XML formats or import an existing XML file and map your data directly to the required tags.
For electronic invoicing, many countries use their own mandatory formats. Interform makes it easy to create, manage, and validate all of them in one place.
With Interform Output Management, you can treat XML formats just like traditional output types—design, enrich, validate, and distribute them as part of the same workflow. XML workflows are often cheaper, faster, and more flexible than paper- or PDF-based processes.
Interform also allows you to combine printing, PDF, emailing, and XML within a single workflow.

Transformation designer

Design transformations without programming. Creating XML often requires transforming incoming data into the correct structure. Instead of programming text-based XSL stylesheets, Interform provides a built-in Transformation designer that lets you build transformations visually. With the Transformation designer, you can:

Several official transformations are already available (e.g., ZUGFeRD, XRechnung, PEPPOL BIS), helping you get started quickly.

Examples of different XML formats

Interform XML Features

Work with familiar technology

Upload the XML format description and use it as a reference when designing your XML templates according to the required standard.

Enrich content and reformat

Standard invoice data may not always include all the fields required by XML invoice standards. Interform allows you to enrich and restructure content using:
This lets you create precise XML output even when upstream data is incomplete.

Validation

Using the built-in validator, you can validate XML output using industry standards such as XSD or XSL. This ensures only qualified and compliant data is sent to the receiver.

XRechnung and ZUGFeRD support

Interform allows you to map data to the structure required for German XRechnung and ZUGFeRD formats. These formats often require embedding the XML file inside a PDF/A document so it can be both viewed and processed automatically.
